Responding to Responders ("The Call Box")
Effective date: 06/19/26 · Last updated: 06/09/26
Please read this carefully. This Privacy Policy explains what information we collect, how we use it, and the choices and controls you have. This app handles sensitive recovery and wellness information, and we treat it with corresponding care.
1. Who we are
Responding to Responders ("The Call Box," the "App," "we," "us," or "our") is a recovery and continuing-care support tool created for first responders, their families, and the clinicians who support them. The App is operated by The Recovery Files, located at www.TheRecoveryFiles.com.
For privacy questions: sheamus@therecoveryfiles.com
2. Important notices
- • Not a medical provider. The App is not a crisis-response or monitoring system. If in danger, call 911 or use the 988 Suicide & Crisis Lifeline.
- • Supplements, not replaces. Information you record is self-reported and not continuously monitored by us or clinicians.
- • You control sharing. Nothing is visible to therapists or users unless you specifically share it.
3. Information we collect
- • Account info: Name, email, authentication credentials
- • Profile info: Responder discipline, recovery stage, goals
- • Recovery data: Check-ins, journals, assessments, habit tracking, plans
- • Community content: Posts, interactions, group messages
- • Messages: Direct messages and therapist portal messages
- • Therapist portal: Invitation, sharing preferences, consent records
- • Device & usage: Limited technical info needed to operate the App
4. How we use information
We use your information to:
- • Provide, maintain, and personalize the App
- • Save your progress, journals, assessments, and plans
- • Enable features you choose (community, messaging, therapist portal)
- • Maintain consent and sharing choice records
- • Keep the App secure and prevent abuse
- • Communicate with you about the App
- • Comply with legal obligations
We do not: Sell personal information · Use recovery data for advertising · Share with employers or agencies
5. How we share information — and your control
Default: Private. Your recovery information is private by default. Therapists see nothing until you invite them and turn on specific toggles.
The therapist portal:
- • Share nothing until your therapist accepts the invitation
- • You choose exactly what is shared (assessments, journals, check-ins, plans) on an item-by-item basis — everything is off by default
- • Therapists have read-only access; they cannot edit your records
- • You can change what you share or revoke access instantly
- • We log all consent and sharing changes
The therapist portal is a convenience tool, not a clinical record, not continuously monitored, and not an emergency tool.
6. Your choices and controls
- • Sharing controls: Manage or revoke therapist access anytime in the App
- • Access & correction: View and update your information directly
- • Deletion: Request account deletion by contacting sheamus@therecoveryfiles.com
- • Notifications: Turn reminders off anytime
- • Community content: Delete your posts (though copies may persist where others have interacted)
7. Crisis and safety information
The App provides crisis resources for convenience. These are operated by third parties, and we are not responsible for them. The App does not monitor entries for risk and does not alert anyone on your behalf. In an emergency, call 911 or an appropriate crisis line directly.
8. Sensitive health-related information
Recovery and substance-use information is highly sensitive. We apply heightened care and limit internal access to those who operate the App.
[Depending on jurisdiction, additional legal protections may apply under HIPAA, 42 CFR Part 2, or state health-privacy laws. Consult legal counsel for your jurisdiction.]
9. Community content visibility
Content posted in community features may be visible to other users. Avoid posting identifying details about yourself or others. Family Chat and gated spaces are limited to their intended audience, but treat anything you post as potentially visible to that space. We moderate for safety but cannot guarantee how others will use what you share.
10. Data security
We use reasonable administrative, technical, and organizational safeguards including access controls and encryption in transit. No system is perfectly secure, and we cannot guarantee absolute security. If a breach affects your information, we will notify you as required by law.
11. Data retention
We keep your information as long as your account is active or as needed to provide the App. When you delete your account, we delete or de-identify your information within 30 days, except where required by law. Consent and audit records may be retained to demonstrate that access reflected your choices.
12. Children's privacy
The App is intended for adults and is not directed to children. You must be at least 18 to use it. We do not knowingly collect information from anyone under 18 and will delete such information if discovered.
13. Your privacy rights
Depending on your location, you may have rights to access, correct, delete, or restrict use of your personal information, to obtain a copy, or to opt out of certain processing. We do not sell personal information. To exercise any right, contact sheamus@therecoveryfiles.com. We will not discriminate against you for exercising your rights.
14. Third-party services and links
The App may link to third-party resources (such as crisis lines). Their privacy practices are governed by their own policies, and we are not responsible for them.
15. Apple App Store / mobile platform
If downloaded through the Apple App Store or other platform, that platform may collect information under its own privacy policy. Our data practices as described here apply to information we collect through the App.
16. Changes to this Policy
We may update this Policy from time to time. Material changes will be notified through the App or by other reasonable means, with the "Last updated" date updated above. Your continued use after changes take effect means you accept the updated Policy.
